SUSTAINABLE OPERATING STRATEGIES / ORGANIZATIONAL SELF-ASSESSMENT

The Sustainable Operating Strategies (SOS) for Alumni Organizations Seminar provides a roadmap for alumni organizations to follow, to effectively manage and operate their activities and their organization. The activities and strategies included in the SOS are what we consider to be essential to operating a “high performing organization.” Although you may choose to implement additional activities, these should not be excluded from your discussions and ultimately incorporated in your action plans.

Our Mission - We have a clear mission statement that defines the purpose of our organization. Every person in the organization, from our CEO to our part-time employees, knows and understands our mission.

Tactical Planning for Annual Goals - Our leadership conducts an annual tactical planning session laying out the key goals for the year. We include interconnected plans to: communicate goals to our alumni officers, adjust expectations and recognition to support our goals, create outreach strategies to alumni and friends to create demand to reach our goals. And we update and execute new or enhanced training to support the new behaviors required to achieve the year’s goals.

Performance Planning - We recognize that leaders have performance expectations that include a view of the collective best behaviors from many different people as the best aspects of each element of their association assignment. At the beginning of each year, every alumni officer uses that collective best- practices image to create a performance plan that defines excellence, then customizes defined measurements tuned to the level of experience of each alumni leader. We use that performance plan to create a map of excellence with each alumni leader at the beginning of the year, provide intervention and coaching during the year, and to achieve “no-surprises” performance reviews at the end of the year.

Career Development - Each year, alumni leaders have program performance discussions with each alumni officer. Together they discuss the short-term and long-term aspirations of the position, identify related strengths and weaknesses for preparedness, and identify activities to turn those strengths into weaknesses so that the alumni officer and/or chairperson are prepared to compete when the opportunity for advancement arises. The Sustainable Operating Strategies (SOS) Plan is signed by the alumni officer and/or chairperson, the alumni officer in charge so that each participant feels connected to the organization even beyond their direct supervisor. In fact, because of SOS, the organization has confidence in its options for succession planning for every level of leadership in the organization.

Coaching & Counseling - Our leadership understands how to select the right management style for a situation… not the same management style with every situation or with every person. When non- performance is associated with unwillingness, attitude or emotion, our trainers are skilled at counseling discussions that enable the alumni officer and/or chairperson to see the disconnect between their own perception of their expectations and performance without belittling the alumni officer and/or chairperson. The result is a turnaround in behavior and attitude and an improved relationship between the alumni officer and/or chairperson.

Recognition & Motivation - Our strategy for expectations, recognition, and motivation is tied to the desired behaviors for each member in their assigned roles. Recognition and motivation tied to strategic behaviors and initiatives can be more impactful. Each year, every alumni officer and/or chairperson plans and executes a Recognition & Motivation strategy for their direct reports as individuals and as a team, and the managers know how to adjust during the year to keep performance on track with the goals of the Association at the National, Regional and/or Chapter level.
